Giveaway Terms of Service

1. Promotion Overview

This promotion (the “Giveaway”) is organized and administered by Pivotal Integrated HR Solutions (“Pivotal,” “we,” “us,” or “our”) in partnership with the Heating, Refrigeration and Air Conditioning Institute of Canada (“HRAI”) in connection with an event co-hosted by Pivotal and HRAI (the “Event”). By entering, participants (“entrants”) agree to be bound by these Official Contest Rules & Terms (the “Rules”) and by our Privacy Policy.

The Giveaway is administered entirely through a sign-up form on Pivotal’s website and is promoted via printed flyers and word of mouth. Attendance at the Event is welcomed but is not required to enter or win. Any questions, comments, or complaints regarding the Giveaway must be directed to Pivotal using the contact details in Section 11.

2. Eligibility

  • Entrants must be at least 18 years of age at the time of entry.
  • Entrants must be legal residents of Canada, excluding Quebec, at the time of entry.
  • Entrants must complete the official entry form on Pivotal’s website.
  • Employees, contractors, and immediate family members (spouse, parent, child, sibling) of Pivotal Integrated HR Solutions or HRAI, and individuals residing in the same household as such employees, are not eligible to enter.
  • The prize (a recruitment placement service) is intended for businesses or hiring managers with a genuine, active hiring need. Pivotal reserves the right to verify that a winner has a legitimate hiring requirement before fulfilling the prize.

3. Entry Period

The Giveaway begins on the date the entry form first goes live on Pivotal’s website and ends at 11:59 p.m. Eastern Time on August 31, 2026 (the “Entry Period”). Entries received outside the Entry Period will not be eligible.

4. How to Enter

Entrants must complete the official entry form on Pivotal’s website, providing accurate and complete contact information (name, email address, phone number, and company name). The Giveaway is promoted through printed flyers distributed at the Event and elsewhere, and through word of mouth; no other action (such as a purchase, event attendance, or social media engagement) is required to enter.

Limit one (1) entry per person/company. Multiple or duplicate entries from the same individual or company will be disqualified. Incomplete entries, or entries containing false or misleading information, will not be eligible.

No purchase is necessary to enter or win. A purchase will not increase your chances of winning.

5. The Prize

One (1) winner will each receive one (1) complimentary recruitment placement service from Pivotal Integrated HR Solutions, with an approximate retail value of $7,000 CAD per placement (the “Prize”).

  • The Prize is a service credit only. It has no cash value and cannot be exchanged, transferred, sold, or redeemed for cash, in whole or in part.
  • The Prize covers Pivotal’s standard recruitment placement service for one (1) role, as reasonably determined by Pivotal. It does not include third-party costs such as job board advertising fees, background check fees, or similar out-of-pocket expenses, unless otherwise stated in writing by Pivotal.
  • The Prize must be used within twelve (12) months of the winner being notified, after which it will expire with no further obligation on Pivotal’s part.
  • Delivery of the Prize is subject to a mutually agreed placement scope and Pivotal’s standard recruitment terms and conditions.
  • Pivotal reserves the right to substitute the Prize with a service of equal or greater value at its sole discretion, including if the winner does not have an eligible hiring need.

6. Winner Selection & Notification

One (1) winner will be selected by random draw from all eligible entries received during the Entry Period. The draw will take place within ten (10) business days following the close of the Entry Period.

The winner will be notified by email and/or phone using the contact information provided at entry, and may also be announced publicly on Pivotal’s website or social media channels (first name and company name only, unless the winner consents to further disclosure).

Each winner must respond to the notification within five (5) business days. If a winner cannot be reached, does not respond within this window, does not meet the eligibility requirements, or declines the Prize, Pivotal reserves the right to select an alternate winner by random draw from the remaining eligible entries, or to not award that Prize.

As a condition of receiving the Prize, winners may be required to sign a Prize acceptance and release form and to provide business information reasonably required to deliver the recruitment service.

7. Use of Personal Information

By entering, you consent to Pivotal collecting and using the personal information you provide (such as name, email, phone number, and company name) to administer the Giveaway, contact you regarding your entry or the Prize, and, where you have separately opted in, to send you marketing communications from Pivotal. Pivotal will handle all personal information in accordance with applicable Canadian privacy law (including PIPEDA) and our Privacy Policy.

You may withdraw consent to marketing communications at any time by contacting us using the details in Section 11, without affecting your entry in the Giveaway.

8. Publicity

By accepting a Prize, each winner grants Pivotal and HRAI permission to use their first name, company name, and general statements about their experience for promotional purposes related to this Giveaway (such as a website or social media winner announcement), without additional compensation, except where prohibited by law.

9. General Conditions & Limitation of Liability

  • Pivotal reserves the right, at its sole discretion, to cancel, suspend, modify, or amend the Giveaway, or these Rules, at any time and for any reason, including if the Giveaway is not capable of running as planned due to technical failures, unauthorized intervention, fraud, or other causes beyond Pivotal’s control.
  • Pivotal reserves the right to disqualify any individual it finds, in its sole discretion, to be tampering with the entry process, violating these Rules, or acting in a disruptive or unsportsmanlike manner.
  • To the fullest extent permitted by law, Pivotal, its officers, directors, employees, and agents are not responsible for: (a) any technical failures of any kind, including malfunctioning of any website, network, server, or other connection; (b) unauthorized human intervention in the entry process; (c) any incorrect or inaccurate information supplied by entrants; or (d) any injury, loss, or damage of any kind arising from participation in the Giveaway or acceptance, receipt, or use of the Prize.
  • This Giveaway is governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein.
